Why property managers call us for commercial water damage

Water in a commercial building does not behave the way it does in a house, and the difference is structural rather than a matter of scale. Floors are stacked and plumbing stacks are shared, so the failure and the damage frequently sit in two different tenant spaces a story apart. Above the ceiling grid a plenum full of duct, cable tray and steel deck gives the water somewhere to run before it ever shows as a stain; below, carpet tile over a concrete slab holds moisture and gives it back slowly. Finding where it came in matters as much as drying where it landed.

How water damage arrives in a commercial building

Almost none of these start where the damage shows. In a commercial building the water has a floor assembly, a ceiling plenum or a shared wall to travel through first, and the tenant who finds it is often not the one whose system failed.

  1. A riser or supply line fails a floor above you

    Vertical risers and supply lines serve every floor, so a failure in one tenant space drains into the assemblies below it. The water follows pipe chases, stairwell edges and the gaps around penetrations, and it can surface two floors down in a suite whose own plumbing is intact. Locating the origin is the first task, because a space dried without the source found simply gets wet again.

  2. A sprinkler head discharges over an open floor plan

    An accidental activation or a struck head releases a steady, pressurised flow from the ceiling and it does not stop until the system is isolated at the valve. Commercial floor plans are open, so the water spreads across workstations, retail fixtures or racked stock rather than being held by a doorway. Ceiling tile, carpet tile, cardboard and anything sitting on the floor take it first.

  3. A roof or HVAC leak arrives through the ceiling grid

    Above a suspended ceiling there is a plenum, and water from a flat-roof membrane failure or a blocked condensate line runs along the deck, the ductwork and the cable trays before it shows. By the time a tile sags or stains, the entry point is often several bays away. That is why the space above the grid gets opened and inspected, not just the tile that gave it away.

  4. A water heater or mechanical room fails back-of-house

    Commercial water heaters, boilers and pumps sit in rooms nobody has a reason to walk into. A tank or supply failure there pools around electrical panels, controls and whatever is being stored alongside them, and it can run for hours before an alarm or a wet corridor gives it away. The finish damage is often minor next to what the water reached in equipment and stock.

  5. A failure that runs all weekend before anyone finds it

    Something that lets go after close on a Friday has until Monday to move. With nobody on site to shut a valve, water travels the length of a corridor, wicks up partition walls and soaks the insulation in them, and works down through floor assemblies into whatever is below. The same failure caught within the hour is a small job; caught on Monday it is a category question and a much larger scope.

What happens when you call

Our commercial water damage process

The order is fixed because each step spoils the next if it runs out of turn. On a commercial loss the first question is not how wet the space is but what the water is: a supply line, a condensate pan, a sprinkler system and a backed-up waste stack all look the same on the floor and are four different jobs.

Category 1 water comes from a sanitary source and can be dried without contamination controls. Category 2 and 3 water has to be remediated before any restorative drying starts, which changes the containment, the equipment and what can be saved. Getting that call right on day one is what decides whether the tenant space comes back or comes out.

Commercial water damage questions we get asked

Who is responsible for water damage in a leased commercial property, the tenant or the landlord?

The lease decides it, not a general rule, and leases in this market differ on who carries the structure, who carries the fit-out and who carries the contents. In practice the call comes from whoever found the water, a tenant, a facilities lead or the property manager, and the loss gets scoped and documented the same way whoever that is. Where responsibility lands afterwards is a question for the lease and the parties named in it, and we are careful not to answer it for them.

What is category 3 water in a commercial building?

Category 3 water is grossly contaminated and can contain pathogenic, toxigenic or other harmful agents: sewage, waste line backflows that originate from beyond any trap, and rising water from outside. In a commercial building it usually means a shared waste stack or a floor drain that has backed up, or ground water that has come in at grade. It has to be remediated before any restorative drying begins, which is a different job from drying a clean supply-line leak, and it is why the category is established before equipment goes in.

Can a business stay open while the building is being dried?

Often part of it can. The work is zoned: the wet area is contained and put under negative pressure where the category calls for it, and the parts of the building that are dry and unaffected stay in use. What decides it is where the water went rather than how big the building is. A sprinkler discharge over one open floor can be held to that floor, while a backup through a shared waste stack usually takes more space out of service. We tell you which of the two you have before the equipment arrives, and we work outside trading hours where that is what keeps the doors open.

What should a facilities team do first when water is found after hours?

Stop the flow if there is a valve someone can safely reach. If there is not, get the building maintenance team or a plumber to it, because shutting the source and repairing the line is their trade and everything after it is ours. Kill power to the affected area if water is anywhere near panels or floor boxes, keep people out of it until the source is known, and photograph what you can see before anything is moved. The earlier extraction starts, the less of the fit-out has to come out.

How soon does drying have to start after a commercial leak?

Immediately, and there is a number behind that: dry the wet materials within 24 to 48 hours and in most cases mold will not grow. In a commercial building that window is harder to hold than it sounds, because the water is frequently inside a wall cavity, above the ceiling grid or under a floor covering before anyone knows it is there, and those assemblies dry far more slowly than the surfaces you can see.

Where does water damage usually start in a commercial building?
